| Overall Job Description |
The Museum of Children’s Art operates an art gallery and art studio for children and provides educational outreach programs in the schools and community. MOCHA serves more than 25,000 children annually. MOCHA’s programs include Museum / Onsite, School day, Afterschool, Early Childhood and Professional Development.

| This Position Reports To |

| Position Responsibilities |

Develop and maintain data entry procedures for integrated databases that accurately track and collect comprehensive information about client participation, staff assignments, programming and billing schedules for onsite programs.

Provide outstanding customer service and communications with all museum clients regarding the booking, planning, confirmation, billing and collections for fee based programs taking place in school, community and onsite settings.

Offer appropriate access to information about MOCHA programs to all public inquiries and requests.

Cooperate with onsite staff to coordinate program activity information and provide support for the onsite department, including direct contact with teaching and volunteer staff members.

Generate statistical reports with daily, weekly, monthly, quarterly and annual activity for scheduling, grant and evaluation reporting, contract management, facility management, financial, and membership and public information systems.

Support the Administrative Team with operational and administrative oversight of program implementation, evaluation, and statistical reporting.

Generate facility use reports, enrollment lists, client lists and program schedules for internal use.

Develop a volunteer program: including, cultivation, orientation, assignments and performance evaluations.
- Reconcile client database information with accounting reports.

Meet regularly with MOCHA staff to coordinate collection and tracking of program participation. |
| Position Qualifications: |

Bachelors degree or equivalent
-
Minimum of 1-3 years experience with database software and design, with FileMaker Pro experience preferred and supporting computer literacy in word processing, excel spreadsheet and internet applications.

Basic accounting skills and ability to understand invoicing/ collections and reconciliation.

Excellent organizational and time management skills, with a proven ability to meet deadlines.

Excellent customer service skills with a sincere interest in working with a diverse community of artists, administrators, children and their families in a positive and courteous manner.

Excellent oral and written skills, and the ability to work well with the general public.

Dedicated attention to detail, balanced with a cooperative nature & good humor |
